How Stabilator Operations LLC handles information for maintenance shops, aircraft owners, and visitors — including people, organizations, aircraft, jobs, parts, pricing, and communications.

1. Who we are

This Privacy Policy describes how Stabilator Operations LLC, a Texas limited liability company (“Stabilator,” “we,” “us,” or “our”), collects, uses, shares, and protects information when you use our websites, applications, and related services (the “Services”), including Stabilator Shop and the owner-facing work-order experience. Our mailing address is 5600 W Lovers Ln, #116-276, Dallas, TX 75209.

Our Services help general-aviation maintenance shops run work orders and help aircraft owners review estimates, approve work, and follow progress. That means we handle business and operational information about people, organizations, aircraft, jobs, parts, pricing, and communications — not just marketing-site cookies.

2. Who this policy covers

This policy applies to:

  • Shop users (admins, service managers, technicians, inspectors, parts, and billing staff)
  • Aircraft owners, co-owners, pilots, and delegates who view or approve work through the Services
  • Visitors to our marketing site and people who book a walkthrough or contact sales or support

If your organization (for example, a maintenance shop) provides us with information about you so it can use Stabilator, that organization is typically the business customer directing how that information is used in the product. Stabilator processes that information to provide the Services. This policy explains what we do as the operator of Stabilator; your shop or owner organization may have its own policies as well.

3. Information we collect

Depending on how you use Stabilator, we may collect:

Account and contact information

Name, email address, phone number, role, organization membership, invitation records, and authentication-related data (for example magic-link or sign-in events). If you set a signing credential (such as a PIN or passkey for approvals or logbook signatures), we store a secure credential representation — not a plaintext PIN.

Organization and business information

Shop or owner organization name and legal name, addresses, phone and email, timezone, certificate or registration details you choose to store, billing contacts, plan and subscription status, and settings. For shops, this may include customer records linking a shop to an owner organization.

Aircraft and ownership context

Aircraft identifiers (such as N-number and serial number), make/model/year, times in service (hobbs, tach, airframe time), component data, base airport, operating regime, and ownership or access relationships — including which LLC, trust, or other entity is treated as the owner organization, and which shops have been granted access for a job or history share. We may also store registry snapshot data when you look up or claim an aircraft.

Work orders, maintenance, and operational data

Work-order details (type, status, schedules and promised dates, checklists), discrepancies/squawks and descriptions, photos, videos, voice notes and transcripts, estimates and line items, approvals and deferrals, parts requests and status, labor time entries, status updates, logbook drafts and signed entries, related PDFs or stickers, and audit history of who changed what and when.

Pricing, invoices, and commercial terms

Labor rates, estimate totals, shop supplies and tax settings, authorization ceilings, invoice lines reconciled to approvals, payment or accounting sync identifiers (for example QuickBooks Online customer or invoice IDs), and related billing correspondence in the product.

Communications

Messages and notifications we send or facilitate (email, SMS, in-app, or push), including magic links for owner review and approval, walkthrough bookings, support tickets, and sales inquiries. Message content and delivery metadata may be stored so the job record stays complete.

AI-assisted drafts

Where AI features are enabled, we may process content you provide (such as photos, notes, or work-order context) to generate drafts for discrepancy text, owner updates, or logbook language. We store the draft, model/prompt version metadata, and whether a human edited or confirmed it. AI drafts are assistive suggestions only. Humans — typically the signing A&P, IA, or other authorized certificate holder — remain solely responsible for approvals, signatures, and anything committed to an aircraft record. Stabilator does not sign logbooks and is not the author of official maintenance entries.

Technical and usage data

IP address, device and browser type, approximate location derived from IP, app version, pages or screens viewed, referring URLs, diagnostic and performance logs, and cookie or similar identifiers on our sites. For signing events we may record timestamp, IP, user agent, and device identifiers needed for an auditable signature record.

Information from third parties

We may receive information from identity providers, payment or accounting integrations you connect, messaging providers, and publicly available sources such as aircraft registry data when you use lookup features.

4. How we use information

We use information to:

  • Provide, operate, secure, and improve the Services
  • Authenticate users, manage organizations and invitations, and enforce access controls (including aircraft access grants between owner and shop organizations)
  • Run work orders end to end — estimates, owner approvals, parts and labor tracking, status updates, logbook drafts, invoices, and related records
  • Send transactional communications (magic links, approval requests, job updates, security notices) and, where permitted, product or sales communications you can opt out of
  • Support billing, subscriptions, and connected accounting tools
  • Generate AI drafts you request and show clear human-edit status
  • Maintain audit trails and signature evidence appropriate to aviation maintenance workflows
  • Detect, prevent, and investigate fraud, abuse, or security incidents
  • Comply with law, enforce our terms, and protect rights and safety
  • Analyze aggregated or de-identified usage to improve reliability and product design

6. How we share information

We do not sell your personal information. We may share information with:

  • Your organization and authorized counterparts. Shop users see job data for their shop. Owners and delegates see work and aircraft information shared with them. Access grants determine what another organization can see on an aircraft or job.
  • Service providers. Vendors who help us host, authenticate, store media, send email or SMS, process payments, provide analytics, support AI drafting, or run customer support — under contractual obligations to protect data. Typical categories include cloud hosting and databases, object storage, authentication, email/SMS, payment processors, and AI model providers.
  • Integrations you enable. If you connect QuickBooks Online or another integration, we exchange the data needed for that connection under your direction.
  • Legal and safety. When required by law, legal process, or to protect Stabilator, our users, or the public.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality.

7. Retention

Aviation maintenance records are often kept for long periods. We retain information for as long as needed to provide the Services, meet contractual commitments to customer organizations, maintain auditable job and signature history, resolve disputes, and comply with legal obligations.

Our product is designed so domain records are generally archived rather than permanently erased in day-to-day use. Media retention may follow classes such as short-lived work media versus permanent aircraft-record attachments. If an owner organization requests deletion or media purge where the product and law allow it, we will process that request and document the action in our audit logs where applicable.

Marketing-site analytics and sales leads are retained for a shorter operational period unless you become a customer or ask us to keep correspondence.

8. Cookies and analytics

On stabilatorops.com we use a light analytics cookie set (via PostHog) to understand which pages shops visit and which calls to action convert — for example Request access. Analytics runs only after you accept the cookie note on the site. You can decline; the site still works. Product authentication cookies for Stabilator Shop are separate and required to keep you signed in.

We do not sell personal information or use marketing-site analytics for cross-context behavioral advertising.

9. Security

We use administrative, technical, and organizational measures appropriate for a SaaS product handling sensitive operational data — including encryption in transit, access controls keyed to organization and aircraft grants, hashed signing credentials, and audit logging of important actions. No method of transmission or storage is completely secure; we work to protect information and to respond promptly if we become aware of an incident affecting your data. See also our Security page.

10. Your choices and rights

Depending on where you live, you may have rights to:

  • Access or receive a copy of personal information we hold about you
  • Correct inaccurate information
  • Delete information, subject to legal and operational retention needs
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Opt out of non-essential marketing emails (transactional job messages will continue)

To exercise these rights, email legal@stabilatorops.com. If you use Stabilator through a shop or owner organization, we may need to coordinate with that organization, which often controls the underlying business records.

California and similar U.S. state laws may provide additional rights (access, deletion, correction, and information about categories of data collected). We do not sell personal information or share it for cross-context behavioral advertising as those terms are commonly defined. You may designate an authorized agent to submit requests where the law allows.

11. Children

The Services are built for aviation businesses and aircraft owners and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps.

12. International transfers

We are a Texas limited liability company. We and our service providers may process information in the United States and other countries where our providers operate. Those locations may have different data-protection laws than your home country. Where required, we use appropriate safeguards for cross-border transfers.

13. Artificial intelligence features

Optional AI features may send relevant job content to our model providers to produce drafts. We intend that AI-assisted fields remain clearly marked until a person confirms or edits them, and that AI does not replace required human approvals or signatures. The person who signs (and the shop that releases the aircraft) — not Stabilator — is responsible for the content of any aircraft logbook entry or other record produced with the Services. Do not submit information to AI features that you are not authorized to process in Stabilator.

14. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated by email or in-product notice when appropriate. Continued use of the Services after an update means you accept the revised policy.
